How to Plan a Vineyard Wedding: A Timeline

A vineyard wedding gives you one thing a ballroom never will — a season. The light changes, the vines change, and the date you pick shapes almost every other decision. Here's the timeline I walk every couple through when they first tour Stonebridge.

12 months out: lock the date and the venue. Estate weekends book up to a year ahead, especially through harvest season (late August through October), when the vines themselves become part of the backdrop. If you want a specific month, start touring 12 months out rather than 6.

9 months out: book your caterer, photographer, and any rental company for tables and linens beyond what the venue fee includes. Outdoor vineyard weddings depend more on vendor availability than a hotel ballroom does, since most vendors serving Walla Walla estates also work the wine-country wedding circuit and fill up early.

3 months out: finalize your guest count and share it with us so we can confirm terrace layout and parking. This is also when we schedule your private tasting, so you can choose the wines poured at your reception with time to adjust the order if needed.

1 month out: walk the property one more time, ideally at the same time of day as your ceremony, so you can see exactly how the light will fall. We'll also confirm your rain contingency plan — our barrel room comfortably seats 80 if weather turns.

Day of: arrive early. Vineyard weddings run on natural light more than a strict schedule, and the couples who build in an extra 30 minutes of buffer are always the ones who look most relaxed in their photos.
